Overview

This article will cover the details such as location of widgets, what is measured, and how savings are measured when comparing the costs of using KARE versus an in-house W-2 worker on overtime.

What is Measured?

Widgets are embedded into important workflow areas to illustrate the estimated cost savings that a community can reach when utilizing KARE instead of an in-house W-2 worker on overtime. The locations described above contain different sets of data points that convey clear and quick interpretations about a community’s financial standing within in a current month or year time range. The invoices page also contains a filter for license type and community (enterprise users only) for more precision.

 

How is Savings Measured?

Each data set is calculated in a different way, some more complex than others. Below, we’ll detail how we come up with your numbers.

 

KARE Versus Overtime Savings

To find the total amount saved using KARE versus employees on overtime, we find the total expense of having a W-2 employee on overtime based on the shift length and subtract it from the total expense of using KARE for a shift.

 

To find the costs of having a W-2 employee on overtime, we use the following factors per hour:

 

 

Average Expense per Hour

This takes the total expense on KARE divided by the number of hours worked in a specific time frame. For therapy, assume 1 session = 1 hour.

 

Total Shifts Worked

This includes all shifts that have been verified or paid by the community.

 

Where do our W-2 employee costs come from?

To collect tax data, we look at a mix of sources to create the most accurate representation of costs.

 

Who can I contact about my savings?

While we are confident that the costs of using KARE will be exponentially lower than using in house employees on overtime, there may be a few cases where savings amounts are not where you expect. Shifts and PBJ Reports Center

Overview

The KARE Report Center is a powerful tool that provides detailed insights into shift activity, staffing data and compliance documentation efficiently. These reports help teams prepare for internal audits, invoicing, and CMS submissions—all without waiting for custom reports from support.

Note:The Report Center is currently available only on the web app for local community users. Access for enterprise or company-level users will be included in future updates. In the meantime, they may request specific reports from local community users or their KARE Account Manager.

 

This guide covers the following topics:

 

How to Access

The Report Center is available exclusively through the web version of KARE. Only community users, such as admins or supervisors (with reporting permissions enabled), can access it.

Steps:

  1. Log in to your KARE account via web browser

  2. Click the “Reports” tab on the left-hand menu

 

     3.  A new window will open with the Report Center dashboard

 

Levels of Reporting

The Report Center currently includes two types of reports:

 

Shift Reports

Useful for comparing with invoices, understanding shift details, review operational and billing data such as:

 

PBJ Reports

The Payroll-Based Journal Report is ideal for CMS (Centers for Medicare & Medicaid Services) reporting. These include:

Termination time is included only if a HERO has been marked as DNR (Do Not Return) by the community in the system.
